What happens to your letter and your data, in plain language.
Last updated: september 2026
What we do with your letter
You upload a letter; we read the text from it and explain what it says. The file and the explanation belong to your account and are visible to nobody else.
We use your letter to give you that explanation. Not for advertising, and we do not pass it to third parties to train models with.
Where your data lives
Everything sits on a single server in Europe, managed by ClaroSpain itself. The database and storage are not reachable from the internet; only the web server is.
Traffic between your browser and us runs over HTTPS. Storage is walled off per user: your file path starts with your own user id, and the database refuses access to rows that are not yours.
How long we keep it
An uploaded letter and its explanation are deleted automatically 90 days after upload. A nightly job does this; the stored file goes with it, not just the database row.
If you delete a letter yourself, that happens immediately. If you delete your account, your profile, all your letters, the generated texts and the stored files all disappear — and that cannot be undone.
What we record in logs
Technical logs record when a request came in, which component handled it, and whether it succeeded. The content of your letter is not in them.
For sent email we keep the address, the subject and whether it succeeded, so we can check whether a message arrived.
Processing by third parties
To explain a letter we use a language model from OpenAI; if that fails we fall back to Anthropic. The extracted text goes there to produce the explanation. Neither party uses that text to train their models.
Text recognition (OCR) runs on our own server and does not leave it. We send email through our own mail server, not through an external service.
Statistics and cookies
We set no analytics cookies without your explicit consent. If you decline, no measurement script is loaded at all.
To keep you signed in, your browser stores a session. That is needed for the site to work and disappears when you sign out.
What we keep for ourselves
To get better at reading Spanish official post, we keep a cleaned copy of the text of every letter we read. Cleaned means: your name, your NIE or NIF, your address, your account number, your phone number, your email address, your cadastral reference and every customer, contract or case number have been replaced by a marker. What remains is the shape of the letter: which authority, which kind of charge, which amounts, and where on the page things sit.
That copy is separate from your account. There is no reference to you, to your email address or to the original file, and we keep only the month of the upload — not the time. If you delete your account, your letters and your data go; that cleaned copy stays, because there is nothing in it that leads back to you. If that does not sit right with you, let us know at support@clarospain.com.
Your rights
You can view and change your data in your account, and delete any letter individually. You can also delete your account yourself, without having to ask.
